Earlybird is listed on G-Cloud 15, the government framework that public sector organisations use to buy cloud software. If your organisation can buy through the framework, you can find Earlybird on the Digital Marketplace and buy it on contract terms the Government Commercial Agency has already set.
Earlybird makes voice-powered AI for frontline casework. Staff such as employment advisers and housing officers use it to collect information from the people they support and to write up their case notes, so less of their day goes on admin.
What is G-Cloud 15?
G-Cloud is a framework agreement for buying cloud services such as hosting and software. The Government Commercial Agency runs it. Until 1 April 2026 the agency was called Crown Commercial Service, so older documents still use that name.
Suppliers apply to join the framework, and the contract terms are set in advance. A public body buying through G-Cloud doesn't have to negotiate a new contract from scratch with each supplier.
G-Cloud 15 replaced G-Cloud 14. It is an open framework let under the Procurement Act 2023, with the agreement number RM1557.15. Earlybird was a supplier on G-Cloud 14 and is now listed on G-Cloud 15.
Who can buy through G-Cloud 15?
The Government Commercial Agency lists these organisations as able to use G-Cloud 15:
- central government
- local authorities
- health
- education
- charities
- blue light services (police, fire, ambulance, and search and rescue)
- devolved administrations
- British overseas territories
So if you run a charity that delivers employment or support services, you can use G-Cloud 15 as well.
What does the Earlybird G-Cloud 15 listing include?
Earlybird is listed in Lot 2b, Software as a Service. One listing covers the platform, and these are the features it sets out:
- An AI agent that talks with participants by phone or chat, at any hour, to collect their information. This is Earlybird Conversations.
- Automatic notes from adviser meetings, held in person or online. This is Earlybird Workscribe.
- Multilingual interpretation for participants who don't speak English, and support for participants with low literacy.
- CVs and cover letters generated for participants.
- Workflows that can be set up to suit each programme.
- Usage analytics, with real-time dashboards for quality monitoring.
The listing names employability, mental health, skills, refugee and rehabilitation programmes as places the platform is used.
Earlybird isn't a case management system, and it doesn't ask you to replace yours. Our team builds the integration with your existing system during onboarding, and data flows back into it. Where an integration isn't possible, we export the data to you through a secure file share.
How do you buy Earlybird through G-Cloud 15?
The Government Commercial Agency sets out two ways to buy from G-Cloud 15. Your procurement team decides which one fits.
Award without competition
This route is for needs that are straightforward and lower in value or complexity, where a service already in the catalogue meets them. You write a statement of requirements, filter the catalogue to build a shortlist of services that meet it, and check that no supplier is excluded under the Procurement Act 2023. Then you award to the lowest price and complete an order form.
Competitive selection
This route is for high-value or complex requirements, and for ones that need a tailored solution. You prepare a detailed statement of requirements and a tender pack, invite the suppliers on your shortlist to bid, and award the contract to the most advantageous tender.
Our pricing document, service definition and terms and conditions can all be downloaded from the Earlybird G-Cloud 15 listing. The buyer guide is on the Government Commercial Agency's G-Cloud 15 page.
Earlybird is also a supplier on the Government Commercial Agency's Artificial Intelligence Dynamic Purchasing System (RM6200). That is a separate route, where public sector buyers shortlist AI suppliers and run a further competition between them.
Where is Earlybird's data stored, and how is it protected?
All of this is on the listing as well.
Data is stored and processed in the UK and the European Economic Area, on Amazon Web Services. Earlybird is ISO 27001 certified, and the certificate covers the whole platform. We are also Cyber Essentials Plus certified.
Data in transit is protected with TLS 1.2 or above, and multi-factor authentication is supported. At least once a year, an outside firm runs a penetration test on the platform. We aim for 99.9 per cent uptime. When a contract ends, we securely delete personal data from our servers.
